Every PIM, regardless of vendor or price, performs four core functions.

1. Centralisation, creating one source of truth: 

Product data scattered across spreadsheets, the ecommerce backend, the ERP, supplier data sheets, and email attachments gets consolidated into one system. 

When a product's weight changes, it changes in the PIM, and the update propagates to every connected channel. When a manufacturer sends updated ingredient information, it enters the PIM, not someone's inbox.

The Practical Test: if your team regularly asks "which version of this description is current," you don't have a single source of truth. A PIM creates one.

2. Enrichment, Improving Data Quality And Completeness:

What a PIM is not

❌ Not an ERP: An ERP manages operational data, inventory levels, purchase orders, financials, supplier relationships. A PIM manages product content data, descriptions, attributes, images, marketing copy. They connect (ERP supplies the product ID and inventory data, PIM supplies the content) but serve different functions.

Is Shopify a PIM system?

No, and Shopify says so itself: its product management tools, adding products, updating prices, using metafields for custom attributes, aren't a dedicated PIM system and businesses hit real limits selling across multiple channels or managing large catalogues.

The distinction is architectural. Shopify is a commerce engine, it processes transactions, manages inventory, handles checkout, connects payment gateways and stores product data as a by-product of those functions.

  • Phase 3, Configuration and Integration (4 to 8 weeks): configure the PIM with the agreed model, connect Shopify and other channels, set up completeness scoring and approval workflows, build channel-specific output templates.
  • Phase 4, Data Migration and Enrichment (4 to 12 weeks, depending on catalogue size): import existing data from spreadsheets and Shopify, run enrichment workflows to close attribute gaps, validate completeness scores.
  • Phase 5, Team Training and Process Embedding (2 to 4 weeks): train the team on the new product onboarding workflow, and establish the PIM as the non-negotiable entry point for new product data, not a parallel system alongside spreadsheets that keep getting used.

The most common failure: the spreadsheet doesn't die. Teams configure a PIM, import existing data, and keep updating the spreadsheet in parallel because it's familiar and the PIM workflow requires behaviour change. Adoption means deliberately retiring the spreadsheet as an active tool, not just keeping it around as a backup.
